Thinking about switching your business phone system? Here's a practical comparison of VoIP and traditional phone systems, including costs, features, and what you need to make VoIP work.

Business phone systems have changed dramatically over the past decade. The traditional desk phone plugged into a copper phone line is increasingly being replaced by Voice over Internet Protocol (VoIP) — phone service delivered over your internet connection.

But is VoIP right for your business? And if you switch, what do you need to make it work well? Let's break it down.

What Is VoIP?

VoIP converts your voice into digital data and transmits it over the internet, the same way email or a video call works. Instead of a dedicated phone line from the phone company, your calls travel over your existing internet connection.

VoIP can run on:

  • Traditional desk phones configured to use VoIP (IP phones)
  • Softphones — software on your computer or laptop
  • Mobile apps — your business number on your smartphone
  • Conference room systems — dedicated VoIP hardware

The provider manages the phone system in the cloud, so there's no physical PBX (Private Branch Exchange) hardware to maintain on your end.

Modern VoIP platforms pack in features that would cost thousands to add to a traditional PBX:

Missed calls send voicemail recordings directly to your email inbox. You can listen from your phone, laptop, or anywhere — and even read auto-transcriptions without listening.

Call Recording

Automatic call recording for compliance, training, or just protecting yourself from "he said/she said" situations. Stored in the cloud, searchable, downloadable.

Mobile Apps and Softphones

Your business number rings on your cell phone. Staff can make and receive calls from their desk number while working remotely, traveling, or working from home. Clients always see your business caller ID.

Auto-Attendant and Call Routing

"Press 1 for Sales, press 2 for Support" — without expensive PBX hardware. Calls can ring multiple devices simultaneously, route based on time of day, or queue with hold music.

Video Meetings

Most VoIP platforms (RingCentral, Microsoft Teams Phone, 8x8, Zoom Phone) also include video conferencing, screen sharing, and team chat — replacing multiple tools with one.

Addressing the Call Quality Concern

The most common objection to VoIP is call quality. Early VoIP systems earned a bad reputation for choppy audio and dropped calls. That reputation is outdated — modern VoIP is as clear as any traditional call when properly set up.

Quality depends primarily on:

  1. Internet connection speed and reliability — VoIP uses about 100 Kbps per active call. A 50 Mbps business connection can easily handle 20+ simultaneous calls.
  2. Network configuration — VoIP traffic should be prioritized using QoS (Quality of Service) settings on your router/firewall. Without this, a large file download can degrade call quality.
  3. The VoIP provider — enterprise-grade providers (RingCentral, Zoom Phone, 8x8) have robust infrastructure. Bargain providers sometimes cut corners.

If your internet is unreliable, VoIP will reflect that. But for most Chicago-area businesses with a decent business-class internet connection, quality is excellent.

Internet Requirements for VoIP

Rule of thumb: 100 Kbps up and down per simultaneous call, plus headroom for everything else your team does online. A business with 10 phones and up to 5 simultaneous calls should have at least a 25 Mbps symmetrical business internet connection. Most businesses already exceed this.

You'll also want:

  • A business-class router with QoS support
  • A wired connection for desk phones (not Wi-Fi)
  • Separate VLANs for voice and data traffic (your IT provider can set this up)

Hybrid Options

You don't have to go all-in on VoIP immediately. Hybrid systems let you keep some traditional lines (useful for fax machines, alarm panels, or credit card terminals that require POTS lines) while migrating the rest of your phones to VoIP.

This is a common approach for businesses mid-lease on traditional PBX hardware or those that need a phased transition.

When Traditional Might Still Make Sense

  • Extremely rural locations with unreliable internet and no clear upgrade path
  • Industries with strict regulatory requirements around call recording where a specific certified solution is mandated
  • Businesses with recently purchased PBX hardware that aren't ready to write off the investment

For most Chicago-area businesses, however, VoIP is the clear winner on cost, features, and flexibility.
